How to import employee details from an Excel Spreadsheet?#
Greytip Online provides you an option to quickly import employee information for many employees from an Excel spreadsheet.
Here are the steps to import data from an Excel spreadsheet:
- Click the Employee > Employee Information menu item to open the Employee Information Page.
- Click on the Import Employees button to open the Excel Import dialog.
- Greytip Online expects the Excel spreadsheet to be in a pre-defined format. Click the Click for expected Excel format link (identified by box 1), to get a sample Excel spreadsheet. See below for a more detailed discussion on the format.
- Prepare your excel spreadsheet to be similar to the required format. Once you are ready, click on the Browse button (box 2), to select the Excel spreadsheet using the File Open dialog box.
- Click on Upload button (box 3) to send the Excel file to the server. At the server, a new employee record is created for each row of the Excel spreadsheet.
- The upload status is shown in the log panel (box 4) for your information. Errors, if any, are also mentioned in the log area.

You need to prepare your Excel data to be in a certain format in order to successfully import the data into the application. The general rules are as follows:
- All data should be in single columns. Each data value should be in a single cell and should not span multiple cells (i.e., merged cells are not allowed)
- In any column, all values should be of the same type.
- The first row of the spreadsheet is be header row. The field name of each column should be mentioned in the first cell of each column. The list of allowed field names is provided in the sample spreadsheet.
- The data type of the column should be as specified in the sample spreadsheet.
- If any columns have a blank first cell or a field name which is not recognized, then values in that column will not be imported and just ignored.
- If any mandatory column is missing, an error message will be displayed. Mandatory columns are shown in red color in the sample spreadsheet.
