Leave Event Reminder setup#
The leave event reminder setup option enables the admin to set a mail trigger to the employees, their manager, their manager’s manager and external members on the Leave event of a particular employee. This feature will be helpful for resource planning.
This is how the event reminder works!
- Leave event is created using leave scheme, type and recipients. The various recipients of this reminder are : Employee, Manager, Manager’s Manager, Admin users, External Entity such as, Vendors, Clients etc.,
- Dates on which the reminder has to be sent and the repetitive reminders have to be set under Mail Setting option.
- Relevant mail template has to be created and configured in the system. An email trigger will be sent to the designated personnel only after mapping a mail template to the leave event reminder.
Steps to create a Leave Reminder
- Go to System > Leave > Leave Event Reminder Setup.
- The list of Leave Events will be displayed based on the type and scheme. Click on Add Events button.
- Key in the details of the Event, Scheme, Type and Recipient. Under the mail setting there are three options for setting the mail triggers:
- Send mail before the event – the number of days mentioned here will trigger a mail
before the event date and the repeat number of days will send reminders on the pattern
specified. For example if the repeat every day is 2 – than the mail will be sent on every
alternate days, if it is 1 – than the mail will be sent everyday.
- Send mail on the event – the mail be sent on the day of the event.
- Send mail after the event – the mail will be sent after the event date and the repeat number of days will be similar to first option.
- For any of the settings opted, select the mail template from the drop down. See Steps to create mail template for more details. A sample mail template is available which can be used for reference. The keyword/tag in the "sample template" should not be altered, however content (text) can be modified to your requirement.
- Click on Add button to store the changes.
Steps to create a mail template
- Go to System > Configure > Mail template list.
- Under Category, select Leave Event mail.
- A list of mail templates under the category is displayed. Click on Add Mail Template.
- Use the sample code to fill the template details. Do not alter the Keywords in the template. Only the text can be changed to your requirement. Fill in the details and click on save.
- There is an option to edit the mail template and also attach a supporting document to it. Click on the Edit or Attach button for the required action.
